Start by creating a Datamolino trial account. From the Datamolino website, choose Start trial, or go directly to this link. No credit card required.
Choosing Accountancy
👉 Which account type should I choose for client work?
Choose Accounting practice. This option is for accounting or bookkeeping practices, or companies that manage multiple entities.
Do not choose Business if you plan to manage multiple clients with separate folders and separate accounting software connections. Business is intended for one company with unlimited users.
👉 What level of detail should I choose?
Choose the level of detail you want for the client trial:
Headers and totals: captures supplier name, date, invoice number, and the total, subtotal, and tax amounts from the summary of each document.
Line-by-line detail: captures headers and totals plus line item descriptions and individual amounts.
This preference can be stored when the trial account is created. It helps Datamolino start with the right document-capture setup for the client work you want to test.
Creating client folders
👉 What is a folder for in an accountancy trial?
A folder is the workspace for one client, company, or entity. It is where you import that client's documents, connect their accounting software, invite users, and manage exports.
During setup, create the first folder for the client you want to test. After the first folder exists, you can create more folders for other clients or entities.
👉 Can I create multiple folders?
Yes. Accountancy is designed for multiple folders. Each folder can represent a different client or entity and be connected to a different (or same) Xero, Quickbooks or FreeAgent organization.

Connecting accounting software
👉 Should I connect each folder to accounting software?
Connect each client folder to the accounting software used by that client. In an Accountancy setup, separate folders can connect to separate accounting organisations.

👉 Do I have to connect accounting software before importing?
You can create folders and begin testing imports before every connection is complete, but the connection is needed when you want to export documents directly to that accounting system.

Open the folder and start importing the client's documents. Use the import method that fits the client's workflow.
