Before you connect
Connecting a folder to QuickBooks links that folder to one QuickBooks Online company. Once connected, Datamolino can export documents and pull your chart of accounts, tax codes, classes, locations, products/services, and customers from QuickBooks.
A few things to know before you start:
One integration per folder. A folder can be connected to only one accounting system at a time. If the folder is already connected to Xero, FreeAgent or another Quickbooks organization, disconnect that first.
QuickBooks login and authorisation. You need a QuickBooks login with admin or accountant-level access to the company you want to connect, and you need to authorise the Datamolino app during the connection flow.
Connect a folder to QuickBooks
There are two places where you can start the connection.
👉 How to connect from the main dashboard?
On the main dashboard, find the folder you want to connect and click Connect and then choose Connect to QuickBooks.
👉 How to connect from inside a folder?
Open the folder, click on the Folder Menu on the right and choose Connect your accounting. Then pick Connect to QuickBooks.
👉 What happens after I click Connect to QuickBooks?
You are redirected to Intuit's login page, where you sign in and authorise Datamolino to access the company. The authorisation must include the accounting permissions Datamolino requests - without them the connection cannot complete.
After you authorise, QuickBooks returns you to Datamolino and the folder is linked to the chosen company. From this point you can start coding and exporting documents.
👉 Can I connect more than one folder to the same QuickBooks company?
Yes. Each folder in Datamolino connects to one QuickBooks company, and you can connect several folders to the same company - for example, for different departments, projects, or locations of the same business. Learn more about multiple folders connected to one QuickBooks company.
Disconnect a folder from QuickBooks
Disconnecting removes the link between the folder and QuickBooks. The folder remains in Datamolino with its documents, but it can no longer export to QuickBooks or pull data from it until you reconnect.
👉 How to disconnect from inside the folder?
Open the folder you want to disconnect, click on the Folder Menu on the right and select Disconnect QuickBooks.
Disconnect Datamolino from the QuickBooks side
Use this section only if you cannot select a QuickBooks company during connection because QuickBooks shows it as already connected to Datamolino. For a normal disconnect, use the steps above.
👉 How to remove the connection from QuickBooks?
Log in to QuickBooks Online with an account that has admin or accountant access to the company, then follow these steps:
Open the gear icon and go to Apps (or My Apps).
Find Datamolino in the list of connected apps.
Open the app actions menu and click Disconnect.
Once the company is disconnected on the QuickBooks side, return to Datamolino and start the connection again from the folder.
👉 The QuickBooks screens look different from these steps - what should I do?
QuickBooks updates its interface from time to time, so the exact path to the connected apps list may differ. The steps remain the same: open your QuickBooks Online settings, find the connected apps list, locate Datamolino, and disconnect it.
