Create a folder

How to create a new folder in Datamolino and what happens next.

Written by Lubica Jakubac

Who can create folders

Not all users on an account can create folders. You need one of the following account-level roles:

  • Owner - can always create folders

  • Manager - can always create folders

  • Member - cannot create folders. The Add Folder button is not shown to Members.

Your account must also be active. Folder creation is blocked on accounts whose subscription has lapsed.

👉 Why don’t I see the Add Folder button?

If the Add Folder button is missing, your account role is Member or your account subscription is no longer active. Contact the account owner to have your role updated, or check your subscription status in account settings.

Creating a folder

To create a new folder, go to your folder list and click Add Folder.

Fill in the folder details:

  1. Folder name - give the folder a clear, recognisable name. The name can be up to 100 characters.

  2. Country - select the country the folder applies to. This must be a valid country - it affects how documents are processed and exported.

👉 I use FreeAgent - can I connect multiple folders at once?

Yes. On accounting practice accounts, the Add Folder button includes an option to connect multiple FreeAgent folders in one go. This is useful when setting up a new client with several FreeAgent entities.

After you create a folder

As soon as a folder is created, Datamolino takes you to the accounting software connection wizard. This lets you connect the folder to Xero, QuickBooks Online, or FreeAgent.

👉 Can I skip the accounting software connection?

Yes. Click 'I'll do this later' in the wizard. The folder will work as an offline folder - you can still process documents and export to a file. You can connect to accounting software later from your folder list.

👉 Where do I find the new folder?

The new folder appears in your folder list on the main dashboard. From there you can open it, invite users, and start uploading documents. See Folders requiring your attention: navigating the folder list for a full guide to the folder list.

💡 Quick tip: clicking the Datamolino logo in the top-left corner always takes you back to the Folder Dashboard.
