Before you connect
Connecting a folder to FreeAgent links that folder to one FreeAgent company. Once connected, Datamolino can export documents and pull your contacts, ledger accounts, tax codes, and projects from FreeAgent.
A few things to know before you start:
One integration per folder. A folder can be connected to only one accounting system at a time.
Practice or Company connection type. FreeAgent supports two account types - Accountant/Practice and Company. Pick the one that matches how you access FreeAgent.
FreeAgent login and authorisation. You need a FreeAgent login with access to the company you want to connect, and you need to authorise the Datamolino app during the connection flow.
Connect a single folder to FreeAgent
There are two places where you can start the connection.
👉 How to connect from the main dashboard?
On the main dashboard, find the folder you want to connect and click Connect.
👉 How to connect from inside a folder?
Open the folder, click on the Folder Menu on the right side and choose Connect your accounting. Then pick Connect to FreeAgent.
👉 What happens after I click Connect to FreeAgent?
Datamolino asks how you access FreeAgent. Choose the connection type:
Connect as Accountant/Practice - if you access FreeAgent through the Practice Dashboard. Datamolino will then show a list of your FreeAgent clients so you can pick the one to link to this folder.
Connect as Company - if you are invited to FreeAgent as a client (one company per login).
You are then redirected to FreeAgent, where you sign in and authorise Datamolino. The authorisation must include the permissions Datamolino requests - without them the connection cannot complete.
After you authorise, FreeAgent returns you to Datamolino and the folder is linked to the chosen company. From this point you can start exporting documents.
👉 Can I connect more than one folder to the same FreeAgent company?
Yes. Each folder in Datamolino connects to one FreeAgent company, and you can connect several folders to the same company - for example, for different departments, projects, or locations of the same business.
Connect multiple folders at once (accountancy practices)
If you connect FreeAgent as an Accountant/Practice, Datamolino offers a bulk option that creates and connects several folders in one flow - one new folder per FreeAgent client you pick. This is only available for accountancy practice accounts.
👉 How to start the bulk connect?
On the main dashboard, open the Add Folder dropdown and choose Add and connect folders to FreeAgent. You will be asked to authorise Datamolino with your FreeAgent Practice login (the same authorisation as a single-folder connect).
👉 What happens next?
After you authorise, Datamolino loads your FreeAgent client list and shows it in a picker. For each client you can see:
Active client name
Account owner
Company type
Pick which Datamolino account the new folders should be created under (if you manage more than one), tick the clients you want to onboard, and confirm. For each selected client, Datamolino creates a new folder and links it to that FreeAgent client. While the folders are being created and the data is syncing in the background, you are redirected back to the main dashboard.
👉 What if some clients cannot be connected?
The bulk flow processes each client independently. Once it finishes, Datamolino shows you:
Which clients were successfully connected.
Which clients were skipped (for example, because a folder for that client already exists).
Which clients failed, with a reason for each.
You can re-run the bulk flow at any time to add more clients later, or connect any individual folder using the single-folder steps above.
Disconnect a folder from FreeAgent
Disconnecting removes the link between the folder and FreeAgent. The folder remains in Datamolino with its documents, but it can no longer export to FreeAgent or pull data from it until you reconnect.
👉 How to disconnect from inside the folder?
Open the folder you want to disconnect, click on the Folder Menu on the right side and choose Disconnect FreeAgent.
