How to find your folder's email address, change it, route documents with subject tags, and handle new senders.

Find your folder's email address

Every Datamolino account has a universal email address. Anything sent to that address arrives in your default subfolder, which is Purchases unless you have changed it in folder settings.

๐Ÿ‘‰ I'm seeing a new purchases. or sales. address in subfolders I didn't have before - did something change?

Your original universal address hasn't changed and still works exactly as before. Datamolino added dedicated subfolder addresses as an optional extra. You don't need to use them - they're there if you want to set up more precise forwarding rules.

๐Ÿ‘‰ Where do I find my folder addresses?

The universal address is shown on the main dashboard, underneath the folder name.

When you're inside a subfolder - such as Purchases or Sales - the subfolder's own prefixed address is shown underneath the folder name at the top of the page.

Suppliers can send invoices directly to the address, or you can add it to the CC line of an existing email thread.

๐Ÿ‘‰ Do Bank Statements have an email address?

No. Email import is only supported for the Purchases, Sales, and Files subfolders.


Change the email address

The address is auto-generated from the folder name when the folder is created, but you can replace it with something easier to remember. Navigate to Folder Menu โ†’ Preferences โ†’ Email Import.

Keep in mind that changing the address updates all subfolder addresses at once, so you'll need to update any forwarding rules you have already set up.

๐Ÿ‘‰ What if the address I want is already taken?

If the address you pick is already in use by another folder, Datamolino adds random characters to keep it unique. Previously used addresses for the same folder keep working too, so any forwarding rules you have already set up will not break when you rename the folder or update the address.


Routing documents to the right subfolder

There are two ways to make sure a document lands in the right subfolder.

๐Ÿ‘‰ Option 1 - Use the subfolder's prefixed address

Each subfolder has its own email address with a prefix - purchases. for Purchases and sales. for Sales. If you set up your forwarding rule to use the prefixed address, documents go straight to the right subfolder automatically. No tag in subject line needed.

๐Ÿ‘‰ Option 2 - Use the universal address with a subject tag

If you are already forwarding to the universal address, emails land in your default subfolder automatically - no tag needed. You only need to add a tag when you want to send a specific email to a subfolder that isn't your default:

  • @SALES - use this when your default is Purchases but this particular email contains sales invoices.

  • @PURCHASES - use this when your default is Sales but this particular email contains purchase invoices.

๐Ÿ‘‰ Which option is better for me?

Both methods are valid. If you use both Purchases and Sales regularly, the prefixed addresses are the better choice - they remove the need to manage subject line tags altogether.

๐Ÿ‘‰ Can I move a document if it lands in the wrong place?

Yes, but using the correct address or tag upfront is the safer option. Documents moved manually after the fact may not have all fields extracted correctly, since the document type was misclassified at processing.

๐Ÿ‘‰ What if I use the universal email address and do not add a tag?

The folder's default email document type is used. For most folders this is purchases. You can change the default in Folder Menu > Preferences > Email Import.

๐Ÿ‘‰ Can I move a document if it lands in the wrong place?

Yes, but proper routing is the safer option. If the document ended up in the wrong subfolder, you can move it manually - just be aware that not all data is guaranteed to be extracted correctly when the document type was misclassified at processing.


Spam protection: Stopped Emails and how to approve new senders

Datamolino accepts emails from senders it already knows - account users, folder users, and addresses you have approved before. If a new supplier or client emails documents to your folder for the first time, those emails are held in a Stopped Emails spam protection filter until you approve them. No documents are created until you do.

A small envelope icon next to the folder name shows that there are emails waiting to be approved.
