Folders requiring your attention: navigating the folder list

How to use the My Folders dashboard to quickly find what needs action - using filters, your personal folder list, and search.

The My Folders dashboard

The My Folders dashboard is the first screen you see when you log in. It lists all the folders you have access to. You only see folders you've been invited to - other folders in the account are not visible to you unless you've been given access.

From this dashboard you can filter your folders by status, maintain a personal shortlist of folders you use most, and search for documents across all your folders at once.


Filtering by status

The filters at the top of the folder list let you narrow down to folders that have something specific happening in them. Each filter shows only the folders that match - all others are hidden until you clear the filter.

The available filters are:

  • Ready to Export - shows folders that have at least one document in the Ready tab, waiting to be exported to your accounting software.

  • Needs Review - shows folders that have at least one document requiring your attention before it can be exported.

  • Stopped Emails - shows folders where incoming emails have been held because they came from a sender not on the folder's approved list. You'll need to review and approve or reject those emails.

  • Export Failed - shows folders where at least one document had an export error that needs to be resolved.

👉 Can I use a filter and search at the same time?

No. When you type in the search bar, the filter resets to show all folders and the search runs across all of them. To use a filter, clear the search field first.


Your personal folder list

You can mark folders as favourites to build your own working shortlist. Favourites are personal - they only affect your view and have no impact on other users' folder lists.

👉 How do I add a folder to my favourites?

Click the star icon on any folder row to mark it as a favourite. To view only your favourited folders, select the Favourites filter.


👉 How do make a list of folders?

Click Add a new list, give it a name, and select the folders you want to include.

Folder lists are personal - they only change your view and don’t affect other users.


👉 When would I use this?

If you manage a large number of folders, favourites and lists will let you keep your most active clients or projects at the top of your working list without reorganising or affecting what anyone else sees.


Searching across folders

The search bar on the My Folders dashboard searches across all the folders you have access to. This makes it useful when a client says they've sent a document and you want to locate it quickly, regardless of which folder it landed in.

👉 What can I search by?

You can search by contact name or invoice number. Enter your search term and Datamolino will show only the folders containing matching documents.

👉 Does search work across archived or deleted folders?

Yes. If documents in archived or deleted folders match your search, they will still appear in the results. However, you won’t be able to open them unless you unarchive or undelete the folder. Once a folder is permanently deleted after 45 days, its documents are removed and will no longer appear in search results.
