​If you need to track inventory using the Inventory items in Xero, you can do so directly from Datamolino.

How to enable Xero Inventory items for your folder?

To enable Xero inventory items for your folder, follow these steps:

  1. Go to Folder menu - Accounting & Automation.

  2. In the Workflow section, click on the toggle for Inventory items and then Save.

  3. To make sure your Inventory items are up to date with Xero, click on Refresh connection on the top of the Accounting & Automation page.

  4. The inventory item codes drop down menu will now appear for each line item and also in the bill split and keyword rules automation settings.

How to automate inventory items selection for line items?

There are 3 main ways how to automate the inventory items selection for line items:

  1. Once you export a line item for the first time, we will automatically remember and apply the same coding in the future, if the line item description is exactly the same.

  2. If your line items descriptions vary, but contain a common keyword that determines their inventory item code, we recommend setting up keyword rules to automate them (Video guide).

  3. If you are creating line items manually or using a bill split, we recommend including the inventory item code in your bill split coding (One off and template based bill split, Recurring bill split).

FAQ: How is the "Unit price" field calculated?

  • This field is for your information only and cannot be edited by the user.

  • The Unit Price is calculated based on the quantity of the item.

  • When you edit the Quantity, the Unit Price is re-calculated by the system. Depending on which values are available, thy system chooses tax inclusive (TOTAL) or tax exclusive (NET) for the calculation.
