Use filters to setup forwarding of supplier invoices from Gmail to one or multiple Datamolino folders.

This tutorial shows you how to setup email forwarding based on filters to your Datamolino folders.

Please note: you can also use Google Groups to setup 1:1 email forwarding to your Datamolino folder. This tutorial is helpful if you need to send your emails to different Datamolino folders depending on the sender or subject

Setup the forwarding addresses

In Gmail

  • Click on the cogwheel icon to access the settings and click on See all settings.

  • Choose the Forwarding and POP/IMAP tab

  • Click on the Add a forwarding address button

  • Enter the email address of your Datamolino folder and follow the steps on screen

  • A confirmation code will be sent to the Datamolino folder email address. You will need to enter this code to confirm the forwarding address. This will allow you to forward emails to this address based on filters.

In Datamolino

  • You should receive and email that will stop in our spam protection filter. You can see that an envelope icon is now visible next to the folder email address in your Datamolino dashboard

  • Open the folder to see the email

  • Click on the email to see its contents.

  • Find the Confirmation code and copy it to your clipboard or write it down

In Gmail

  • Enter the code from the confirmation email and click Verify

  • This has added the address to a list of addresses that you can now use to automatically forward emails from your account

  • Repeat these steps for all the Datamolino folders where you wish to forward emails based on filter criteria

Setup the forwarding criteria using filters

  • To setup the filters click on the filters icon in the search bar on the top of the screen

  • Set the criteria based on which you would like to forward emails to Datamolino for processing. Consider the following

    • Specific supplier email address (this will forward all emails from this address)

    • Subject (You can filter based on words such as "Your receipt ...")

    • Attachment (forward only emails with attachments)

    • Or a combination of these filters

  • You can test if you are getting the correct emails filtered by doing a search first.

  • If you have already setup the forwarding address you can choose it in the dropdown menu.

  • Choose the forwarding address

  • Check the box to make sure the emails are forwarded

  • In the Gmail settings in the Forwarding and POP/IMAP tab you can now see the newly setup forwarding rule.

  • Here you can edit or delete it
