Understand how much you automate your exporting flow in Datamolino

The Export Automation report allows you to understand how much ‘Auto-export’ is utilised in your Datamolino folders.

This report helps you:

  • Identify folders that need attention and uncover opportunities for more Auto-export usage.

  • Understand reasons why documents in some folders cannot be automated as much (e.g., small number of recurring supplier invoices).

You may find clients where it can make sense to ask for increased quality of their scans or encourage them to get the digital copies directly from their suppliers, so the Auto-export can be turned on.

Accessing the Report

You can download the report in Excel format to start your analysis.

Then:

Report Breakdown

When you download the report, you will see the following metrics for each folder in your main dashboard:

  • Manual Export: Number of documents exported manually

  • Auto Export: Number of documents exported automatically

  • Exported TOTAL: Total number of documents exported

  • Auto Export %

  • Active Suppliers: Number of Xero Contacts with at least one exported document in a period

  • Automated Suppliers: Number of Xero Contacts with Auto-export enabled and at least one exported document in a period

  • Supplier Automation %: Percentage of Auto-export usage for suppliers within a given period

    • Formula: Automated suppliers / All active suppliers * 100

How to interpret results in the report?

  • A low percentage in the last column indicates that Auto-export is not widely used among Active Suppliers.

  • A high Auto-export % indicates that many documents are being auto-exported, which is advantageous. This often happens when there are a few suppliers with a high volume of recurring documents.

The goal is to increase the percentages in both columns. While this may not always be possible, such as with a limited number of recurring suppliers, the report provides clarity on the extent of automation used and highlights opportunities for further automation on a per-folder basis.
