Monthly plan credit
π What am I paying for each month?
Your plan has a monthly price. In Datamolino, that plan price acts as credit toward processing and service fees during the billing period.
As documents, bank statements, file splits, and storage files are processed, their charges are counted against that credit. If your usage stays within your monthly credit, the plan price covers it. If your usage goes above the credit, the extra amount is charged as overage.
π Does every paid plan work this way?
Yes. Paid plans use the plan price as the minimum monthly commitment.
π Which currency is used?
Your plan currency is shown in Datamolino. The supported plan currencies are EUR, GBP, USD, and AUD. The selected currency affects the prices displayed.
What counts as chargeable usage
Datamolino tracks several usage categories for billing. The exact rates can vary by plan, so check the pricing shown in your account when selecting or reviewing a plan.
Bills & Receipts: document processing for uploaded purchase bills and receipts.
Bank Statements: bank statement processing, usually shown as a rate per bank statement sheet.
Document splitting: a service fee when Datamolino splits uploaded bills or receipts into separate documents.
Bank statement splitting: a service fee when Datamolino splits bank statement files during processing.
Files: storage-file charges for files kept in Datamolino where this applies to your plan.
π Are actual prices the same for every account?
No. Rates come from the selected plan and can differ by currency, plan type, and plan tier. Datamolino shows the processing rates and overage rates when you choose or view your plan in Account management (available for owners).
π Where can I see the current rate for my plan?
The account owner can view the subscription and its processing rates in Account management.
How document charges are counted
π When is a document counted for billing?
Files are counted when they undergo datacapture processing, regardless of the resulting state of the document (Ready, Not extracted, Data duplicate).
π Which billing period receives the charge?
For documents, Datamolino uses the upload date where possible. This means the charge is attached to the billing cycle that matches when the document was uploaded.
If an older matching billing cycle is already closed or billed, Datamolino uses the current billing cycle instead. This keeps usage attached to an active cycle that can still be billed correctly.
π What happens with tiered document rates?
Some plans use tiers. For example, a plan can show one rate for the first group of bills and receipts covered by the monthly credit, then another rate for additional documents. Datamolino calculates consumed usage from the tier settings on the selected plan.
Service fees for splitting and storage
Service fees are separate billing categories that are also deducted from your monthly plan credit first. If your total usage exceeds the credit, they contribute to overage.
π When does the document split fee apply?
The document split fee applies if you import a document with a split request in one of the following ways:
Selecting the Auto option when importing via web.
Adding @split to an email subject.
Setting up Auto split as the default import preference for the folder.
Requesting a fingerprint repair with a split into individual transactions.
A split fee is applied even if the file isn't actually eligible for splitting.
π When does the bank statement split fee apply?
The bank statement split fee applies when Datamolino automatically splits a bank statement file during processing. Unlike document splitting, this is not usually a manual choice during upload. It happens in the background when needed for bank statement processing.
π Are service fees deducted before overage is calculated?
Yes. Processing and service fees are included in the consumed usage total. Datamolino compares that total with your monthly plan credit. Only the amount above the credit becomes overage.
Overage charges and billing cycles
π What is overage?
Overage is the amount of consumed usage above your monthly plan credit.
π What if I subscribe halfway through the month?
If you subscribe halfway through the month, we will calculate a pro-rata carry-over credit for the unused portion of the month which will be automatically applied on your future invoices.
π Can discounts reduce my total?
Yes. If a voucher applies to your account, Datamolino deducts the usable voucher amount from the billing total, up to the amount due.
π What happens if I process less documents than my subscription allows?
If you process less documents than your monthly subscription, the credit will not carry over. Consider downgrading to a smaller plan if your overall usage decreased.
π Where can I check past usage?
You can review current and historical usage in billing history if you are the account owner. Learn more about viewing your current and historical usage.
