What Datamolino counts towards your usage, what does not count, and where to see the running total.

What counts as a processed document

Anything that Datamolino actually runs through extraction counts towards your usage for the billing cycle. That includes:

  • Documents extracted successfully. Every invoice, receipt, or other document that Datamolino reads and creates a record for counts as one processed document.

  • Documents we tried to extract but could not. If Datamolino accepted the file and ran extraction but the result is empty or the document ends up in Needs Review, it still counts. We did the work, so the document is counted.

  • Duplicates detected only after extraction (data duplicates). A document that turns out to be a data duplicate based on its content has already been extracted, so it counts.

The principle is simple: if Datamolino ran extraction on the file, the document counts towards your usage - regardless of the result.


What does not count

Files that never reach extraction do not count. These include:

  • File duplicates that we stop before processing. When you upload the same file twice into the same folder, Datamolino flags the second upload as a file duplicate and does not run extraction on it. It does not count.

  • Skipped files. If a file is rejected at upload (unsupported types, jpeg logos ignored), no extraction takes place and the file does not count.

  • Infected files. A file flagged as a virus is not processed and is not counted.

  • Suspended uploads. If processing is paused because your account is suspended, the folder is archived, or the overage limit has been hit, the upload sits in a suspended state until processing resumes. It is not counted while suspended.

In short: if Datamolino did not run the file through extraction, you are not charged for it.


Where to review the usage for your account

The account owner can review processed-document counts in Account management > History of Billing Cycles. This shows the usage for the current cycle and previous cycles. To get a per-folder breakdown for a cycle, open it and use Show details then Download (CSV).

Only the account owner has access to this page. Folder admins and folder users can see documents inside the folders they have access to, but they cannot see the account-level usage total.

👉 Why is my usage higher than the number of documents in my folders?

Two reasons. First, documents you have archived or deleted still count - usage is based on what Datamolino processed, not on what is currently visible in the folder list. Second, documents that ended up in Needs Review or were later identified as data duplicates were still extracted and so are counted.

👉 Will deleting a document remove it from my usage?

No. Once a document has been processed, it counts for the billing cycle. Deleting it removes it from your folder view but does not refund the usage.
