Who needs to use 2FA?
2FA is required for all paid Datamolino users who log in with an email address and password. If you are on a free trial, 2FA is optional. If you log in exclusively via Xero or Intuit SSO, 2FA does not apply. SSO login bypasses the 2FA step entirely.
If you don't set up 2FA on a paid plan
If you are on a paid plan and have not enabled 2FA yet, Datamolino will redirect you to the setup screen when you log in. You must complete the setup before you can continue using the app.
Setting up 2FA with an authenticator app
To enable 2FA, you need an authenticator app installed on your phone or desktop.
Supported apps include:
Google Authenticator (Android and iOS)
Authy (Android, iOS, and desktop)
Microsoft Authenticator (Android and iOS)
Once you have an app installed, follow these steps:
Open the app and select Add account or tap the + icon.
In Datamolino, go to User profile → Security.
Click Enable 2FA.
Scan the QR code using your authenticator app. If you are using Authy on desktop and cannot scan the QR code, enter the text code shown below it instead.
Enter your Datamolino password and the 6-digit code generated by your authenticator app.
Click Verify code.
Once the code is verified, 2FA is active on your account. You will be shown your backup codes immediately after - save them before closing this screen.
Backup codes
When 2FA is enabled, Datamolino generates three backup codes.
Each code:
is 16 characters long
can only be used once
can be used to log in or disable 2FA if you lose access to your authenticator app
👉 Where should I keep my backup codes?
Store your backup codes somewhere secure that you can access without your phone, such as:
a password manager
a printed note stored safely
an encrypted file
Datamolino will not show the codes again after you close the setup screen.
If you lose both your authenticator app and your backup codes, you will need to contact support@datamolino.com to reset the authentication.
Trusting your device at login
👉 What does "Trust this device for 29 days" mean?
After completing 2FA on a device, you can choose to trust it. When trusted, Datamolino skips the 2FA step on that device for 29 days - you go straight to the app after entering your password. Use this on personal devices you use regularly. Avoid it on shared or public computers.
Email backup codes
Email backup codes let you receive a 6-digit verification code by email instead of from your authenticator app. This is a backup option only. It does not replace the authenticator app.

Once 2FA is set up, go to User profile → Security. You will see an option to enable the email backup method there.
👉 How does the email code work at login?
On the 2FA verification screen, click Send code to email. A 6-digit code arrives in your inbox within seconds. Enter it and click Done. The code expires after 5 minutes and can only be used once. You can only request a new code once every 5 minutes, so if you need to request again, you may need to wait before retrying.
