What is Auto-export?
Auto-export allows you to automate the exporting of documents to your accounting software.
Auto-export is available for folders connected to Xero, Quickbooks or FreeAgent.
Auto-export works at the contact level β you enable it per supplier (for purchases) or per customer (for sales). This means you stay in control of which contacts are automated and which aren't.
You can exclude one or more document types (invoice, receipt, credit note, invoice statement, purchase order, interest note, proforma invoice) from auto-export. E.g. Exclude credit notes from auto-export as they require custom coding and review.
Enabling or disabling Auto-export for a contact
You can manage Auto-export for any contact in two ways β through a document, or through the folder's Automation settings.
π How do I enable Auto-export from a document?
Open any document for the contact.
Make sure the correct contact is selected in the right-hand panel.
Click the Auto-export toggle to enable or disable it for that contact.
This affects all future documents for that contact, not just the one you have open.
π How do I manage Auto-export from the folder settings?
Go to Folder Menu β Accounting & Automation.
Select Automation contacts, then choose Supplier automation or Customer automation.
Search for the contact and click their name.
Toggle Auto-export on or off, then click Save.
Identifying auto-exported documents
π How can I tell if a document was auto-exported?
Documents that have been auto-exported show a slightly different version of the Xero / QuickBooks / FreeAgent status icon, displayed in green.

Excluding document types from Auto-export
π Can I stop certain document types from being auto-exported?
Yes. If you are the folder administrator, you can exclude specific document types from auto-export β for example, if credit notes require custom coding and manual review before export.
To exclude a document type:
Go to Folder Menu β Accounting & Automation.
Select Workflow.
Tick the document types you want to exclude, then click Save.
The following document types can be excluded: invoice, receipt, credit note, invoice statement, purchase order, interest note, proforma invoice. The setting applies to the entire folder.
Auto-export eligibility and limits
π What does a document need to be auto-exported?
A document is eligible for Auto-export only when all of the following conditions are met:
Auto-export is enabled for the contact
The document was imported after Auto-export was enabled
The document has been correctly captured (not a data duplicate, and extraction has completed)
A contact pairing exists
Coding is complete β ledger account and tax code are assigned
There is no checksum discrepancy
If any of these conditions are not met, the document will not be auto-exported.
π What if I have invoice approval enabled for my folder?
If invoice approval is enabled, Auto-export is available at the folder level only β not at the contact level. On top of the standard criteria, the document has to be approved to be eligible.
π What integrations support Auto-export?
Auto-export is available for folders connected to Xero, QuickBooks, or FreeAgent only. It is not available for unconnected folders.
π Why can't I access the Workflow section to exclude a document type from auto-export?
Only folder administrators can access the Workflow section of Accounting & Automation.
