How to export data to Xero/QuickBooks

Step by step on what to do before exporting data to your accounting software.

Please follow these steps to export data to your accounting software. In this article we use Xero but you can apply the same process to QuickBooks.

1. Connect the folder to your cloud accounting

You can do this either on the dashboard, by clicking on “Connect folder” (next to the folder you want to connect) or from inside the folder, by choosing “Connect your accounting” from the drop-down menu.

Then you can choose to connect your folder to Xero or QuickBooks.

2. Review and code your documents

To export the document to Xero an initial coding is required. Datamolino learns this - next time you upload the document, Datamolino will suggest coding automatically. This is how you can do it for the first time:

  • Open your Datamolino folder

  • Click your invoice and review the extracted data showing on the left side of the screen

  • Assign the contact, ledger account, tax code, and tracking category (if used in Xero).

Please do not forget to save any changes

3. Export documents to your cloud accounting

Once the document is coded, simply hit the "Export & Next" button. The invoice will be exported and the following document in line will be shown for your review. In addition to this, you have the following options 👇

  • EXPORT - The invoice is exported and you stay on the current invoice preview

  • EXPORT TO FILE - If you want to convert your invoice to Excel, CSV etc.
