What Contact Notes are and how they work
π What is a Contact Note?
A Contact Note is a custom text note attached to a specific supplier or customer contact in Datamolino. It's visible to all users working on documents assigned to that contact, making it a useful way to share context across your team.
π Where do I see the Contact Note for a contact?
The Contact Note appears underneath the invoice description area once you've selected the Xero, QuickBooks, or FreeAgent contact for a document. It's only visible after the contact has been assigned.
Scope and limitations of Contact Notes
Contact Notes are contact-specific and folder-specific. It's worth understanding exactly where they apply before relying on them to share information.
π Can I leave a note for the whole folder, not just one contact?
Contact Notes apply to a single contact only. If you need a note visible across an entire folder, use Folder Notes instead.
π What if I have the same contact across multiple folders?
Contact Notes are stored per folder. If the same contact appears in more than one folder β even if all folders connect to the same accounting entity β each folder holds its own separate note for that contact.
π What happens to a Contact Note if I move a document to another folder?
The note does not follow the document. Contact Notes stay in the folder where they were created and are not carried over when a document is moved.
π Can I export Contact Notes to Xero, QuickBooks, or FreeAgent?
No. Contact Notes exist only within Datamolino and are not exported to your accounting software.
π Can I edit multiple Contact Notes at once?
No. Contact Notes can only be edited one at a time β bulk editing is not supported.
π My folder is not connected to any accounting software, can I use Contact Notes?
No, if your folder isn't connected to Xero, QuickBooks, or FreeAgent, Contact Notes will not be available to you.
