Exporting bank statements to Xero
👉 Can I send a bank statement from Datamolino straight to Xero?
Yes. If your folder is connected to Xero, you can export a processed bank statement directly into a Xero bank account. The transactions then appear in that account's reconcile screen, ready for you to reconcile.
👉 Can I still download the statement as a file instead?
Yes. Export to Xero sits alongside the file export options on the bank statement screen, so you can still download the statement as a CSV or XLS file.
Availability and Xero permissions
👉 Is this available for all Xero folders?
No, not yet. Exporting bank statements to Xero is a beta feature. It is currently available only for selected Xero organisations chosen by Xero.
👉 Which Xero user needs to connect the folder?
The Xero user who connects the folder must have permission in Xero to deliver bank feeds. If that user doesn't have enough permissions, the export fails with an Insufficient Xero permissions error. To fix this, an admin user in Xero needs to reconnect the folder to Xero.
Sending a bank statement to Xero
👉 How do I export a bank statement to Xero?
Once the statement has been processed and reviewed, you can send it to Xero from the statement screen:
Upload the bank statement to your Xero-connected folder and wait until it shows as Ready.
Open the statement and review the data: the dates, the opening and closing balances, and the transactions.
Select the Xero bank account the statement should go to.
Click Export to Xero.
👉 What does the statement need before Xero will accept it?
Xero checks each statement before accepting it, so the statement must include:
A start date and an end date.
An opening balance and a closing balance.
A date for every transaction, and every transaction date must fall within the statement's start and end dates.
An account number.
Balances that add up. The opening balance plus the transactions must equal the closing balance.
A start date within the last 12 months. Xero doesn't accept older statements through this export.
If any of these is missing or incorrect, the export fails and the statement shows an error explaining why.
The bank statement export to Xero might also fail due to:
The account being already connected to a bank feed.
Insufficient Xero permissions of the user attempting export to Xero.
👉 Can I directly export multiple bank statements to Xero at once?
No, bulk export is not supported for direct export of bank statements to Xero.
To save time, consider using the manual bulk export to CSV and import to Xero option instead.
Choosing the right Xero bank account
👉 Do I have to pick the Xero bank account every time?
Yes. The bank account selector starts empty for every statement, and Datamolino doesn't remember your last choice. If you click Export to Xero without selecting an account, you'll see the message "Select a Xero bank account before exporting."
👉 Will Datamolino match the statement to the right account for me?
No. The statement goes to whichever Xero bank account you select. Datamolino doesn't compare the choice with the account name or number on the statement, so please double-check the selected account before you export.
👉 What if I send the statement to the wrong account?
A statement sent to the wrong Xero bank account can't be removed from that account's feed, because Xero doesn't allow bank feed entries to be withdrawn. This is why checking the selected account before exporting matters. If you made a mistake, correct it directly in Xero.
After the export
👉 How do I know the export worked?
After a successful export, the statement status changes to Exported. The Export to Xero button is replaced by the name of the Xero bank account the statement was sent to, and a View in Xero link appears in the status row.
👉 When will the transactions show up in Xero?
The transactions usually appear in the Xero bank account's reconcile screen within moments. Sometimes they take a little longer, so if you don't see them straight away, wait a moment and refresh Xero.
👉 Where does "View in Xero" take me?
View in Xero opens the Bank Accounts page in your Xero organisation. From there, open the bank account you exported to. The link doesn't open the individual statement, because Xero doesn't have a separate page for each statement.
👉 Can I export the same statement to Xero again?
No. Once a statement is Exported, the Export to Xero option is no longer available for it.
👉 I successfully exported a bank statement directly to Xero, but the transactions do not appear in the account.
First, make sure that you selected the right account when exporting to Xero.
If the export was successful, but the transactions are still missing after waiting for a few minutes, Xero might have rejected them after we delivered the message. Try exporting via a CSV instead.
Export errors and exporting again
👉 What happens if the export fails?
If Xero rejects the statement, its status changes to Export error, and the statement screen shows the reason, for example a missing date or balances that don't add up.
👉 How do I export the statement again after fixing the error?
