When to use SPLIT
Use the SPLIT function when you receive a single PDF containing multiple invoices or bills. Datamolino will automatically separate each document so that every invoice or bill appears as an individual item in your folder.
This is useful when a supplier sends a combined monthly batch as one PDF file - SPLIT breaks it apart so each invoice is processed on its own.
Do not use SPLIT when:
You are importing several PDF files at once and each file already contains only one invoice or bill.
You are importing a single invoice or bill that simply runs across multiple pages.
You want each product or service line of an invoice extracted - that is line item extraction, available on subscriptions with line items.
You want a bill or invoice split into several tax lines or expense categories - use the one-off bill split or tax summary instead.
The PDF has the invoice on the first page followed by attachments you do not want captured but want to keep with the invoice.
You can request a split in four ways: ad-hoc during web import, ad-hoc during email import, after a document has already been processed, or automatically for every import in the folder.
Alternatively, you can split the document yourself.
Ad-hoc split during web import
To request a split during a web upload, click Import and select the Auto option before you select or drag and drop any files.
With Auto selected, every PDF you drop into the upload dialog will be split if it contains more than one invoice.
Ad-hoc split during email import
To request a split for a document sent by email, add @split to the subject line of the email. Datamolino will treat the PDF attachment the same way as if you had used Auto in the web upload dialog.
Splitting an already-processed document
If a multi-invoice PDF has already been processed as a single document, you can still request a split. To request a bill split, follow these steps:
Open the document, click the document menu and choose Repair fingerprint.
Select Split into individual transactions and click Send.
Turning on automatic split for a folder
If most of the files you import contain more than one bill or invoice per PDF, you can change the folder workflow so that SPLIT is applied by default for every import - web and email.
This setting must be changed by a folder administrator. To turn Auto Split on for the folder, follow these steps:
Go to Folder Menu - Accounting & Automation.
Open the Workflow section, change File splitting to Auto, and click Save.
From that point on, every PDF imported to the folder will be split automatically. Individual uploads can still override the folder default at upload time.
👉 Where does the default come from if nothing is set on the folder?
File splitting is off by default. If you want to turn it on, you have to do so manually for each folder.
Keeping a multi-page PDF as one document
Sometimes you want the opposite: a multi-page PDF should stay as one document, even when the folder default is set to Auto.
👉 How do I stop a PDF from being split?
In the web upload dialog, choose Single invoice before adding the file. For email uploads, add @nosplit to the email subject line.
👉 Can I merge two scans into one document after they have been uploaded?
No. Merging two separate documents into one is not available in Datamolino.
Uploading a ZIP archive of multiple files
You can upload several documents at once by packaging them in a ZIP archive. Datamolino extracts the archive and creates one upload per file inside it.
A few rules apply to archives:
Each file inside the archive inherits the document type, source, split setting, and any associated email from the parent upload.
Archives nested inside archives are not supported. If a ZIP contains another ZIP, the inner archive is skipped.
If extraction fails or the archive turns out to be empty, the upload is skipped and the individual files cannot be recovered from it - upload them directly instead.
Common questions
👉 I uploaded one PDF with 15 invoices and it shows as a single document. Will it be split?
Yes, if SPLIT was requested for that upload (Auto in the web dialog, @split in the email subject, or the folder default set to Auto). If none of those applied, the PDF stays as a single document. To split it now, use the Repair fingerprint option described above or split it yourself manually [LINK-TODO: manual splitting of documents]
👉 What happens if I send a multi-invoice PDF by email without @split?
Datamolino uses the folder's File splitting setting. If the folder is set to Auto, the PDF is split. If it is off, the PDF arrives as one document and you can split it later via Repair fingerprint or manual split.
👉 Does SPLIT work for image files or only PDFs?
SPLIT applies to multi-page PDFs. Image files (JPG, PNG, HEIC, and so on) are single-page by nature, so there is nothing to split.
