Upload a bank statement

Learn how to upload a bank statement PDF, what files are accepted, and where to find it after uploading.

File requirements

Before you upload, make sure your file meets these requirements. Files that do not meet them will be rejected during upload or processing.

  • Format: PDF only. Scanned images, spreadsheets, and other file types are not accepted.

  • Maximum file size: 60 MB per file.

  • Maximum page count: 50 pages per file. If your statement is longer, split it into smaller PDFs before uploading.

  • No password protection: Remove any passwords from your PDF before uploading. Password-protected files are rejected.

  • No infected files: Files flagged as virus-infected are rejected.

If you are on a trial account, there is a page limit for processing (10 pages by default). You can still upload files, but processing will stop once the limit is reached.


Upload steps

To upload a bank statement, you need access to a folder that has bank statements enabled. Follow these steps:

  1. Open the folder where you want to upload your statement.

  2. Click the Import button.

  3. In the upload window, select Bank statements as the destination.

  4. Drag and drop your PDF file into the upload area, or click to browse your computer for the file.

  5. Click View documents once the upload completes.


Where to find uploaded bank statements

After uploading, your bank statements appear in the Bank statements subfolder within the folder you uploaded to. You can switch between the main documents view and the bank statements subfolder using the folder navigation.


What happens after upload?

Once your file is uploaded, Datamolino begins processing it automatically. Processing statements may take some time - most are completed within the same business day, but complex or multi-page statements can take longer.

You do not need to stay on the page while processing happens. Come back later and check the status in your Bank statements subfolder.

Duplicate file detection

👉 What happens if I upload the same statement twice?

If the same PDF has already been uploaded to the Bank statements subfolder and is now in any state, including as deleted in Trash - it is marked as a file duplicate.

👉 How do I process a statement that was marked as a file duplicate?

You need to remove all copies of the file - including the original - before re-uploading. Here is how

  1. Locate the original and all copies in the Bank statements subfolder.

  2. Select them by ticking the checkboxes.

  3. Click Delete.

  4. Go to the Trash tab.

  5. Select all statements in Trash and click Permanently delete.

  6. Re-import the statement.

👉 I edited my PDF and re-uploaded it - will it be treated as a duplicate?

No. Even small changes to the file create a different fingerprint, so an edited version will be treated as a new upload and processed normally.


Troubleshooting

👉 My upload was rejected. What should I check?

Make sure your file meets all upload requirements: it must be a PDF, under 60 MB, no more than 50 pages, and not password-protected. Also check that your Datamolino account is active and not suspended. If your account is suspended, you will see a banner at the top of the page.

👉 I'm on a trial - why did processing stop?

Trial accounts have a page limit for bank statement processing (10 pages by default). Once you reach that limit, additional pages will not be processed until you upgrade your account. See more about trial limits here [LINK-TODO: trial limits]

👉 Can I upload something other than a PDF?

No. Bank statement processing only accepts PDF files. If your bank provides statements in another format (such as CSV or Excel), you will need a different workflow. Learn more about supported formats.
