Folder tabs: what lives where and why

What each folder tab shows and how to use them to find the documents that need your attention.

How folder tabs work

When you open a folder, you’ll see a row of tabs above the document list. Each tab is a filtered view - it shows only the documents in a particular state. The folder opens on the Ready tab by default.


Folder tabs explained

Every folder has these six tabs:

  • Ready - documents that are fully processed and ready to export.

  • Needs Review - Documents that need attention before export.

    This includes:

    • incomplete documents

    • possible duplicates

    • rejected documents (when approvals are enabled)

Export Failed - documents that Datamolino attempted to export but the export was unsuccessful. These need to be resolved before they can be exported again.

  • All Files - every document in the folder that isn't in the Trash or Archive. The tab displays all:

    • Ready documents

    • Documents still processing

    • Documents that need review

    • Failed exports

  • Archive - Documents you archived manually or documents archived automatically after export. Archived documents stay here indefinitely. You can choose to unarchive the document at any time.

  • Trash - Documents you deleted. Trashed documents are removed from all other tabs and kept in Trash for 45 days before being permanently deleted. During that time, you can undelete the document if needed.

👉 Why did my document disappear from Ready after export?

After a successful export, documents leave the Ready tab because they no longer need action. Depending on your folder settings, the document either:

  • moves to Archive automatically

  • stays visible in All Files with an exported status


Tabs with the approval workflow

If the approval workflow is enabled on your folder, two additional tabs appear between Export Failed and All Files

  • Awaiting Approval - Documents waiting for approval before they can move forward. These documents are not yet ready to export.

  • Awaiting Export - Documents that were approved and are now ready to export.

Ready - The document is processed but has not entered the approval workflow yet.

Awaiting Export - The document has already been approved and is waiting to be exported.

Both tabs contain documents ready for the next step, but they represent different stages of the workflow.

👉 Where can I find invoices rejected during approval?

They appear in the Needs Review tab. This tab includes rejected documents alongside other items that need attention, such as incomplete documents or potential duplicates.
