How to create a GDPR data export, choose what to include, and download the prepared files securely.

Where to find GDPR Data

๐Ÿ‘‰ Where is the GDPR export tool?

Open Account Management, then go to the GDPR Data tab. The GDPR Data tool lets you generate a comprehensive data export from Datamolino.

๐Ÿ‘‰ Who can use it?

The GDPR Data page is part of Account Management. Access is controlled by account management permissions, so owners and managers can open the tool. If you do not see the tab, ask the account owner for access.


Creating an export request

To create a GDPR export:

  1. Click your name in the upper-right corner.

  2. Select Account Management.

  3. Open the GDPR Data tab.

  4. Select the Year to export. You can choose a specific year or All years.

  5. Tick the boxes for the data you want to include.

  6. Click Create export.

๐Ÿ‘‰ Which years are available?

The year list starts with the oldest document year in the account and runs through the current year.


What data can be included

The export form lets you choose from predefined categories. You can include one or more of these data sets:

  • folders/documents: data captured from uploaded files.

  • folders/uploads: originals of uploaded PDFs and images.

  • folders/emails: data received through email import.

  • folders/files: storage files data.

  • account/users: data about users in your account.

๐Ÿ‘‰ Can I request a different category?

No. The form accepts only the predefined export categories shown in the GDPR Data tab.


Processing and download limits

๐Ÿ‘‰ How long does the export take?

Datamolino prepares the export in the background. When the export is ready, you receive an email and can securely download the prepared files from the GDPR Data page.

๐Ÿ‘‰ Can I create several exports at once?

No. You cannot create a new GDPR export while a previous export is still pending.

๐Ÿ‘‰ Can I create a new export immediately after the last one?

No. A new GDPR export cannot be created until the previous export has expired. GDPR exports expire after 7 days by default.

๐Ÿ‘‰ What files are created?

For each selected year, Datamolino prepares separate export attachments for data and uploaded files. The download area can show Exported data (.csv .json) and Uploaded files (.pdf .jpg ...).

๐Ÿ‘‰ How do I download the prepared files?

When the export status is ready, use the download links in the GDPR Data tab. Prepared downloads remain available until the export expires.

๐Ÿ‘‰ Why do I need to confirm my identity?

For security reasons, downloads require SSO or password verification. If two-factor authentication is enabled on your account, Datamolino also verifies the one-time code before allowing the download.

๐Ÿ‘‰ What if the export fails?

The GDPR Data page can show export status as pending, failed, or succeeded. If an export fails, try again after the current request is no longer blocking a new export, or contact support.
