How the Audit Trail and Document History work together
Every document in Datamolino keeps two separate records, and they answer different questions:
The Audit Trail is a system event log for the document. It sits inside the document detail page, beneath the document preview on the right. It shows timestamped entries for things Datamolino's system detected or recorded about the document - for example, a duplicate detection check.
Document History is the activity log. It opens as a modal and lists what has happened to the document over time - imports, edits, contact updates, exports, moves, and approval events when the add-on is enabled.
So the Audit Trail tells you what the system has noticed about the document. History tells you what people (and the system) have done to it.
The Audit Trail panel on the document page
The Audit Trail is a panel inside the document detail page, sitting under the document preview on the right-hand side. It lists timestamped entries that Datamolino has logged about the document as the system has checked or processed it.
👉 What kind of entries appear in the Audit Trail?
Entries describing things the system detected or recorded about the document. The most common example is a data duplicate detection, export errors or successful exports. This is also were approval actions are recorded (submission, approval, rejection,..)
Document History: the activity log
Document History is a chronological log of activity on a single document. It opens as a modal titled History and lists timestamped entries, each describing one change. Many entries have a Show entries link you can click to expand the underlying detail of what changed.
Events you will see in History
The mix of entries depends on what has actually happened to the document. The events that can appear are:
Import - records how the document arrived in Datamolino, for example "John Smith added this document via web interface".
Field edits - any change to a header field such as supplier, invoice number, issue date, or totals.
Line item edits - changes to rows in the line item table, including additions, removals, and edits to amounts or coding.
Contact updates - changes to the customer or supplier contact assigned to the document.
Moves - when the document is moved from one folder to another.
Deletions - when document is trashed or removed from trash
Archiving - when document is archived or unarchived
👉 Does History show who made each change?
Yes. Each entry records the user who performed the action, alongside the timestamp. System-driven events (such as automatic exports or auto-archive after export) are recorded as system actions rather than user actions.
Who can see history and the Audit Trail
Access to both views follows the same rule as access to the document itself: you must be a member of the folder the document is in. If you can open the document, you can see its Audit Trail panel and open its History.
👉 Do all folder roles see the same history?
Yes. The activity log and the Audit Trail are visible to every user who has access to the folder. Datamolino does not hide entries based on role within the folder.
