FreeAgent & Datamolino: Bank Statement Extraction and Exporting to FreeAgent

You can export your bank and credit card statements from Datamolino directly into your FreeAgent bank accounts. This makes it easier to keep your accounting records up to date.

This article explains how the feature works and how to get the best results.

How to upload Bank or Credit Card Statements

  1. Go to your folder and click Import.

  2. Choose Bank statements as the document destination.

  3. Upload your files by dragging and dropping or selecting from your device.

  4. Click View documents once the upload is complete.

Note: The statements will take some time to be converted.

Your files will appear in the Bank statements subfolder 👇

How to Export to FreeAgent

  1. In the Bank statements subfolder, go to the Ready To Export tab.

  2. Select the statement and click Export to FreeAgent.

  3. Datamolino matches the statement’s account number with the correct bank account in FreeAgent and exports the transactions.

Notes:

✅ The bank account must already exist in FreeAgent. If you’ve recently made changes in FreeAgent, refresh your connection in Datamolino.

❌ If the export fails (e.g. due to a missing account or error from FreeAgent), you’ll see a dismissible error message in the app.

Important When Re-Exporting

If a statement is reprocessed in Datamolino and exported again, FreeAgent might not detect duplicates unless the transactions are identical (same date, amount, and description). To avoid duplicates, delete the original transactions in FreeAgent before re-exporting from Datamolino.

Optional Export to CSV

You can also export your data to CSV if needed:

  • Combine multiple statements into one file.

  • Export individual statements as separate files.

  • Filter by date or keyword within a single statement and export the result.

The Extraction Process

  • Most statements are processed within one business day.

  • Include opening and closing balances to improve accuracy.

  • Digital or native PDFs will result in a faster extraction.

Supported File Types

  • PDF format

  • Up to 25 pages and 25MB in size

  • Scanned at 200dpi or better

Troubleshooting and Errors

Datamolino flags issues as:

  • Review Required – extraction worked but needs your check. You can mark it as ready if the issue isn’t critical.

  • Failed Extraction – critical issues prevent proper processing. You can still download the data in CSV format.

Review required

This means that we were able to capture all vital data present on the document. The error message inside the document will explain in detail what went wrong.

The status icon in the document list will explain that there has been an issue with the statement:

In the document detail you will see an in-depth error message. You can click the "Mark as Ready" button to change the document to status "ready".

Failed extraction

This means that the issues on the document could not be overcome. Datamolino will give you the data that has been captured so you can attempt to repair it in your spreadsheet processor. The error message inside the document will explain in detail what went wrong.

The status icon in the document list will have a Failed status in red:

In the document detail you will see a red error message. You can still export this file to CSV to review it in your spreadsheet program and repair if possible:

How to process duplicate statements

A statement is marked as a 'File Duplicate' if there are one or more copies of the same statement already present anywhere in the Bank statements subfolder (any status, including statements in the Trash).

To process statements that were marked as a "File Duplicate", follow these steps.

  1. Locate the original and all copies of the statements currently present in the Bank statements subfolder of this folder.

  2. Select them by ticking the boxes.

  3. Click on Delete.

  4. Proceed to the Trash section.

  5. Select all statements in the Trash section and click on Delete immediately.

  6. Re-import the statements you wish to process.

Common Issues

Some files can’t be fully processed due to missing data, low scan quality, or layout problems. The most frequent issues are:

  • Missing pages with Opening and Closing Balances, which prevents transaction checks.

  • Low-quality or overly compressed scans that are hard to read.

  • Heavy handwriting over dates or amounts that interferes with extraction.

List of Error Messages

Opening and closing balances are missing

Datamolino has made the best effort to extract all table data from the uploaded file. However, the document lacks the opening and/or closing balances needed to validate transactions. To resolve this, please upload a document containing these balances.

Tally check failed

The sum of transactions doesn't match the closing balance. Please check if any pages are missing and re-upload. Datamolino has made the best effort to extract all table data from the uploaded file.

Document unreadable

Document is unreadable due to poor scan quality or handwriting. Review the extracted data manually or upload a clearer copy. Datamolino has made the best effort to extract all table data from the uploaded file.

Document not supported

This document is not a bank statement or credit card statement.

Document is incomplete or inconsistent

The pages are not in correct order, the file contains pages that we could not identify, or the file is missing pages. Datamolino has made the best effort to extract all table data from the uploaded file.
