Where to edit document fields
Document fields are edited in the Document View - the screen you see when you open a single document from a folder list. The Document View shows the original file on one side and the extracted data on the other, so you can compare the captured values against the source while you edit.
To open the Document View, click any document in a folder list. Fields like supplier, invoice number, issue date, due date, and totals appear in the data panel and become editable directly inline - click into a field, type the new value, and click Save. There is no separate edit mode to enter.
👉 Do I need to click Save?
Yes. You can edit several fields at once, but to save changes, you always have to click Save.
👉 Can I edit several documents at the same time?
Not from the Document View. To change the same field across many documents in one go, use the bulk edit action from the folder list. You can update the issue date, due date, and currency in bulk. Bulk operations apply to a maximum of 100 documents at a time.

Fields you can edit
The Document View groups editable fields into the document header (the basic identifying information) and the totals (the monetary values). The exact list depends on the document type and the accounting software your folder is connected to.
Header fields you can edit on a typical purchase invoice:
Supplier or contact: the company that issued the document. Pick an existing contact from the list, or add a new contact if the supplier is not yet in your folder.
Invoice number: the reference printed on the document. This is a plain text field - any characters are accepted.
Issue date: the date the document was issued.
Due date: the date payment is expected.
Document type: if the document type wasn't captured correctly, you can change it yourself from the dropdown
Currency: the currency the document is billed in. Coding values may need to be re-checked if you change the currency,
I opened a document but the fields are greyed out.
There are a few reasons fields may be read-only:
Processing - Fields are read-only while a document is being processed. This includes uploading, processing, repairing, and exporting.
Approvals - Fields are locked for editing when a document is awaiting approval or is already approved and the "lock editing for approval" setting is enabled for the folder.
Archived or deleted documents - Editing is not available on documents that have been archived or deleted.
If none of the above apply, check for Discard and Save buttons at the top of the document. If they are there, you have unsaved changes from a previous session - click either Save or Discard to continue editing.
Where to check history of edits
Open the document and click the menu icon at the top. Select Document History from the dropdown - it will show the dates changes were made, who made them, and what was changed.
