How and when to use the auto(split) import.

When to use an auto(split)?

If a (PDF) file contains more than one bill or invoice, we can split it for you into separate documents. Each bill / invoice from the file will be an individual Datamolino document.

When NOT to use the auto(split)?

  • You are importing multiple (PDF) files at once, but they all contain only 1 invoice / bill per (PDF) file.

  • You are importing a multiple page invoice / bill.

  • You wish us to extract each product / service line item of the invoice. That is line item extraction, available for subscriptions with line items.

  • You wish to split the bill/invoice into several (tax) lines. Use the bill split or the tax summary for that.

  • You are importing a (PDF) file that has the invoice on the first page and then attachments on the following pages, that you do not wish us to capture, but would like to keep together with the invoice.

You can request a split the following ways:

Ad-hoc split during web import

To request a split during web import, click on Import and then select the Auto option before you select or drag & drop any files.

Ad-hoc split during email import

To request a split during email import, add @split to the subject of the email.

Additional split of a processed document

To request a split for a processed document, follow these steps:

  1. Open the document, click on the document menu and then Repair fingerprint.

  2. Select Split into individual transactions and click Send.

Automatic split of all imported documents

If most of the files you are importing contain more than one bill or invoice per (PDF) file, you can change your folder workflow to use the auto(split) by default for any import (web, email).

To change the setting, have the administrator of the folder take these steps:

  1. Go to Folder Menu - Accounting & Automation.

  2. Open the Workflow section, change the File splitting to "Auto" and Save.
