What auto-split is and when to use it

Auto-split detects multiple invoices or bills inside a single PDF file and splits them into separate Datamolino documents - one document per invoice or bill.

Use auto-split when a single PDF file contains more than one bill or invoice and you want each captured as its own document.

πŸ‘‰ When should I not use auto-split?

Auto-split is designed specifically for PDFs that bundle multiple separate invoices. In other situations it will produce incorrect results or is simply not needed.

Do not use auto-split if:

  • You are importing multiple PDF files at once, but each file contains only one invoice or bill.

  • You are importing a single invoice or bill that spans multiple pages.

  • You want to extract individual product or service line items from an invoice - use line item extraction instead, available on subscriptions that include line items.

  • You want to split a bill or invoice into several tax lines - use the bill split or the tax summary for that.

  • Your PDF has the invoice on the first page and attachments on subsequent pages that you do not want captured, but want to keep together with the invoice.

Select the Auto split option before choosing your file - the option must be set first, before you select or drag and drop any files.

  1. Click Import.

  2. Select the Auto option.

  3. Select or drag and drop your file.

Add @split to the subject line of your email. Datamolino will then apply auto-split to any PDF attachments in that email.

Splitting a document that has already been processed

πŸ‘‰ What if I forgot to request a split before importing?

You can still request a split after a document has been processed using the Repair fingerprint option.

  1. Open the document, click on the document menu, and select Repair fingerprint.

  2. Select Split into individual transactions and click Send.

πŸ‘‰ Can I set auto-split to apply automatically to every import?

Yes. If most of the files you import contain multiple invoices per PDF, you can set auto-split as the default for the entire folder. Once enabled, it applies to all imports - both web and email - without needing to select it each time.

❗️Only a folder administrator can change this setting.

  1. Go to Folder Menu β†’ Accounting & Automation.

  2. Open the Workflow section, change File splitting to Auto, and click Save.
