Add an approver: getting a second opinion on a document

Add approver lets anyone who is approving a document add one more person who must also sign before it moves on. Nobody is removed, and signatures already given stay in place.

How to add an approver

  1. Open the document from Approvals > Awaiting Approval.

  2. Click More actions > Add approver…

  3. Pick a folder member from the list and click Add approver.

👉 Who can I pick from the list?

The list shows every member of the folder who is not already on the current stage. People who already hold a seat are left out, so nobody can be added twice. Members who are currently away appear with the name of the person covering for them, for example Lu Jakubac (away, covered by Alex Smith).

👉 Can I add more than one person?

Repeat the steps for each person, as long as you have not signed yet. Every person you add must approve before the stage can move on.

What Add approver does

Use it when one particular document needs an extra pair of eyes, for example a budget owner or a colleague who knows the supplier. It changes only this document. The workflow itself and future documents are untouched.

👉 How is Add approver different from Reassign?

Add approver keeps everyone who is already on the stage and adds one more required signer. Any approver on the stage can do it. Reassign hands a pending seat to a different person instead, and only admins can do that. Learn more about Approve as admin, Reassign and Reset approval.

👉 Which documents offer Add approver?

Documents that are Awaiting Approval on a stage set to All must sign. Stages set to Any one of do not offer it, because a single signature already completes them.

Who can add an approver

The option is available to every approver on the current stage who has not signed yet, whatever their role. Admins, Users and Approver-only users can all use it. Once you approve the document yourself, Add approver disappears for you.

👉 I am an admin. Why don't I see Add approver on this document?

Admins only see it when they are also an approver on the current stage. If you are not on the stage, or a substitute is covering for you and therefore holds your seat, the option is not shown. You still have More actions > Reassign and Approve as admin.

👉 Can the person who submitted the document add an approver?

Submitters can add an approver only when they are also an approver on the stage. If self-approval is switched off for the approval path, the submitter cannot add anyone and is not offered as a candidate either.

What happens after you add someone

👉 Does adding someone affect approvals already given?

Approvals already given stay in place. The stage simply needs one more signature before it completes. When the last approver signs, the document becomes Approved and follows the normal export flow.

👉 Where can I see who added whom?

The document's Audit trail records an Approver added event with the person who added, the person added and the time. Each approval that follows is listed as it is collected, for example "2 of 3 approvals collected".

👉 Does the added person get notified?

The added person receives the standard approval notification and sees the document in their own Awaiting Approval list, marked "your signature is needed".

👉 I added the wrong person. Can I remove them?

Add approver has no remove option. Ask an admin to use Reassign to move that seat to the right person, or Reset approval to start the document's approval again.

👉 Why do I see "This approver already has a place on the current stage"?

Someone added that person, or the stage changed, after you opened the list. Close the dialog and open More actions > Add approver… again to see the current choices.
