Once auto-export is on, every document that reaches Approved status is exported to your accounting software automatically - you never need to click Export manually.
How auto-export works
Auto-export after approval removes the manual export step. When a document is approved - whether by a named approver, by the admin-override path, or automatically via auto-approval - Datamolino sends it straight to your connected accounting integration.
👉 What does auto-export do?
It exports each Approved document to accounting on its own. The document status header shows an Auto-export enabled badge so you can see at a glance the setting is active for the path the document was routed through.
👉 Does auto-export need an integration?
Yes. It requires a connected accounting integration. If the folder isn't connected to Xero, Quickbooks or FreeAgent, documents cannot be exported automatically and the setting has no effect.
Where the setting lives
Auto-export after approval is a per-path setting, so different paths in the same folder can export automatically or wait for a manual export. A document follows the auto-export setting of the path it was routed to.
👉 Where do I turn on auto-export?
As an admin, open the Manage workflows for the folder and select the path you want - you can turn it on for the Default path and for any custom workflow path.
If your organisation used auto-export before the Approval workflows launch, the setting was inherited onto the Default path during migration, so nothing was lost. See how documents are routed to a path.
Combining the automation settings
👉 Can I combine auto-export with the other automations?
Yes - layer all three for a fully hands-off flow, with the audit trail recording each step:
Auto-submit for approval - every document that reaches Ready is submitted automatically.
Auto-approval - documents from a flagged supplier contact bypass the workflow and are approved by the system instantly.
Auto-export after approval - every Approved document is sent to accounting automatically.
With all three on, a captured document can go from Ready to exported without anyone touching it. See auto-submit for approval and auto-approval per supplier.
Frequently Asked Questions
👉 How do I know auto-export is active for a document?
The status header shows an Auto-export enabled badge when it applies. If you do not see the badge, the document will wait for a manual export after it is approved. See exporting when approval is enabled.
👉 Can I auto-export some documents but not others?
Yes, because auto-export is set per path. Turn it on for the paths whose documents should export automatically and leave it off for the rest, then route documents using workflow conditions. See how documents are routed to a path.
👉 Does auto-export skip approval?
No. A document must still reach Approved before it exports. Auto-export removes the manual export click; it does not bypass the workflow.
